PolArt Sydney 2022 Inc (ABN 17 715 053 570) (“PolArt”) is a Not-for-Profit volunteer operated,  incorporated association based in Sydney, New South Wales, Australia, and operates this website at the address https://polartsydney.com.au and the online e-commerce website THE STORE at the address https://shop.polartsydney.com.au

PolArt’s objective is to host the 2022-2023 festival of Polish Visual and Performing Arts in Sydney. You can learn about our leadership team here.

Comments

When visitors leave comments on the site PolArt will collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help in spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, they become available to everyone on the Internet and you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

If you leave a comment on PolArt’s site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit PolArt’s login page, it will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Who PolArt shares your data with

If you request a password reset, your IP address will be included in the reset email.

Visitor comments may be checked through an automated spam detection service, including Google’s ReCAPTCHA.

PolArt’s website analytics are provided by Google Analytics, though aside from your IP address and browser information it does not provide Google with your personal data.

Information supplied by donors during the donation process is managed by DonorBox, with payments processing managed securely by Stripe. PolArt’s website never interacts with your credit card details directly. Only Stripe has access to credit card details provided.

PolArt’s online e-commerce website THE STORE will require your name, contact information, address information and credit card information to accept, process and fulfill your order. THE STORE relies on WooCommerce Payments to process payments. PolArt’s e-commerce website never interacts with your credit card details directly. Only Stripe has access to credit card details provided.

PolArt fundraising events are ticketed through Eventbrite, so if you purchase a ticket online, you will be providing your personal data to Eventbrite.

Forms for expressing interest in participation in PolArt activities are created through Cognito Forms and Google Forms, so any personal information you enter will be provided to Cognito and Google, including but not limited to your IP address and browser information, and in the case of Google your Google user account name.

PolArt’s mailing list is operated through MailChimp, so if you sign up to our newsletter, you will be providing your email address to MailChimp.

PolArt operates a Facebook Page and an Instagram profile, if you like our Page or follow us, PolArt will receive limited visibility of your own profile as provided by Facebook and Instagram platforms, but PolArt does not provide those entities with any of your personal information.

How long PolArt retains your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so PolArt can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on its website (if any), PolArt will store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Information supplied by donors during the donation process is retained by PolArt as required to meet obligations under legislation and regulation, including but not limited to; records that may be requested by the Australian Taxation Office for tax deductible donations, records our charitable fund, PolArt Sydney 2022 Public Fund, is required to maintain and produce any miscellaneous information required by any regulatory Australian body.

Personal information supplied when you place an order with PolArt’s online e-commerce website THE STORE is retained by PolArt as required to fulfill your order, complete payments processing, provide after sales service and as required to meet obligations under legislation and regulation.

Information supplied by event attendees during ticket purchasing process is retained by PolArt as required to operate the event and to meet any obligations under legislation and regulation.

Information supplied by mailing list subscribers is retained by PolArt as required to deliver information about the festival to you.

If you email PolArt, message PolArt via Facebook/Instagram or otherwise contact PolArt, it will retain the electronic records of the communication until it determines they are no longer required, which may be indefinitely i.

What rights you have over your data

If you have an account on this site you can request to receive an exported file of the personal data PolArt holds about you, including any data you have provided to it.

If you subscribe to PolArt’s mailing list, you can unsubscribe at any time using the link in the email you receive.

Where PolArt sends your data

Data within PolArt’s website is hosted in Australia, with redundant hosting in Singapore in the event of a complete loss of the Australian hosting. Other than the partners and suppliers identified, who have their own respective Privacy Policies that you can refer to for where data is sent, your data will be kept in various services that PolArt rely on to operate and these are hosted in Australia, Singapore, the European Union and the United States.
