Who we are

PolArt Sydney 2022 Inc (ABN 17 715 053 570) is an incorporated association based in Sydney, New South Wales, Australia, and operates this website at the address: https://polartsydney.com.au.

We are a volunteer-run organisation with the objective to host the 2022-2023 festival of Polish Visual and Performing Arts in Sydney. You can learn about our leadership team here.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

If you request a password reset, your IP address will be included in the reset email.

Visitor comments may be checked through an automated spam detection service, including Google’s ReCAPTCHA.

Our website analytics are provided by Google Analytics, though aside from your IP address and browser information we do not provide Google with your personal data.

Information supplied by donors during the donation process is managed by DonorBox, with payments processing managed securely by Stripe.

Our fundraising events are ticketed through Eventbrite, so if you purchase an ticket from us online, you will be providing your personal data to Eventbrite.

Our forms for expressing interest in participation in our activities are created through Cognito Forms and Google Forms, so any personal information you enter into them will be provided to Cognito and Google, including your IP address and browser information.

Our mailing list is operated through MailChimp, so if you sign up to our newsletter, you will be providing your email address to MailChimp.

We operate a Facebook Page and an Instagram profile, so if you like our Page or follow us, we will receive limited visibility of your own profile as provided by the Facebook and Instagram platforms, but we don’t provide them with any of your personal information.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Information supplied by donors during the donation process is retained by us as required to meet our obligations under legislation and regulation, such as records that may be requested by the Australian Taxation Office for tax deductible donations, and records our charitable fund, PolArt Sydney 2022 Public Fund, is required to maintain and produce.

Information supplied by event attendees during the ticket purchasing process is retained by us as required to operate the event and to meet our obligations under legislation and regulation.

Information supplied by mailing list subscribers is retained by us as required to deliver information about the festival to you.

If you email us, message us via Facebook/Instagram or otherwise contact us, we will retain the electronic records of the communication until we decide they are no longer required, which may be indefinitely, so we can better understand the context of any future interaction.

What rights you have over your data

If you have an account on this site you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

If you subscribe to our mailing list, you can unsubscribe at any time using the link in the email you receive.

Where we send your data

Data within our website is hosted in Australia, with redundant hosting in Singapore in the event of a complete loss of the Australian hosting. Other than the partners and suppliers identified, who have their own respective Privacy Policies that you can refer to for where data is sent, your data will be kept in various services that we rely on to operate and these are hosted in Australia, Singapore, the European Union and the United States.
